JOB TITLE:                      Development Associate

SUPERVISOR:                 Chief Development Officer

HOURS:                           Full time 40hrs/week plus special events

SALARY:                          Commensurate on experience

BASIC QUALIFICATIONS

  • Bachelor’s degree or higher and 4 years’ experience or equivalent combination.

  • Experience building relationships with staff, donors, customers, or similar.

  • Direct fundraising related experience.

  • Experience generating reports and interpreting the data.

  • Experience with database administration and spreadsheet software.

  • Experience in business writing, editing, and proofreading.

  • Experience working across teams.

  • Experience, coursework, or other training in fundraising principles & practices.

  • Strong organization skills, accuracy, and attention to detail.

  • Experience with event management.

  • Excellent communication and writing skills via presentations, conversations, proposals, and reports.

 

ESSENTIAL FUNCTIONS

This position is based in Key Largo, Florida, USA. In addition to the applied functions of this position, this candidate is motivated, reliable, and displays strong core characteristics as outlined in CRF’s values statement above. As a CRF team member they think critically and are intuitive. They are able to adjust to changes and able to problem solve on the spot.

Reporting to the Chief Development Officer, the Development Associate will assist in the fulfillment of the Development Program’s strategic goals. The position will have substantial contact with staff and donors. They apply established processes and practices to improve effectiveness. The Associate does not supervise any staff, but may supervise interns and/or volunteers.

The position’s targeted fundraising goals will be set annually.

70-80% of their efforts will directly support the fundraising strategy as outlined in CRF’s Annual Operating Plan. The Development Associate will:

  • Manage foundation proposals and reporting for < $25K Foundations.

  • Manage TDC applications and reporting.

  • Manage the stewardship of $1K - $10K individuals, including the generation of regular updates for this donor segment and the organization and execution of site visits to CRF headquarters, coral nurseries, and restoration sites.

  • Conduct meetings with donors for solicitation and/or stewardship.

  • Have the ability to determine a prospect/donor’s interests, capacity, and potential for helping CRF meet its goals, along with the ability to take action to move the relationship forward.

  • Give presentations to strategic audiences both locally and via Skype.

  • Maintain CRF’s $100 - $999 donor segment and monthly donors. Oversee the solicitation strategy and execution.

  • Craft and send necessary donor acknowledgements.

  • Manage weekly gift entry into Donor Perfect.

  • Manage and maintain donor files and use donor database to track trends and produce reports on key fundraising data.

  • Use the available fundraising management system to produce donor reports, perform analysis and research, and track prospects and donors.

  • Assist with writing proposals and complete donor research

  • Assist with other Development Program efforts, including event prep, large mailings, and annual planning.

20-30% of time, is expected to be spent planning and executing Raise the Reef, CRF’s Annual Gala. Raise the Reef is CRF’s largest fundraising event and the organization’s most visible. The Development Associate will successfully manage the event utilizing and building upon the existing framework from 2019. Event oversite includes (but is not limited to):

-           Coordinating with the Communications Director on the event marketing plan

-           Securing venue and serving as point of contact for all event vendors

-           Building the JotForm (or similar online form for ticket sales)

-           Identifying and securing sponsors

-           Management of silent and live auction

-           Overseeing night of event flow

-           Coordinating with Volunteer Program to secure and train event staff

 

REQUIRED SKILLS, KNOWLEDGE, AND PERSONAL CHARACTERISTICS

  • Excellent communications in English, both orally and in writing.

  • Disciplined critical thinker.

  • Maintain confidentiality of frequently sensitive and emotionally charged information.

  • Demonstrated experience using MS Office (Word, Excel and Outlook) and donor management software.

  • Proven organizational and analytical skills and attention to detail.

  • Consistently demonstrate professional, positive, and approachable attitude/demeanor and remain discrete.

  • Deep integrity, with an unwavering commitment to ethical behavior.

  • Demonstrated interest in environmental issues and marine conservation.

 

COMPLEXITY/PROBLEM SOLVING

  • Critical thinking to adapt or modify processes in response to changing circumstances.

  • Solve routine problems independently; consult Chief Development Officer for unusual or complex problems.

  • Coordinate projects with several variables, work within a defined timeline and budget.

 

TEAM WORK AND EFFECTIVE COMMUNICATIONS

CRF operates with a small staff and rely on our seasonal interns as well as local volunteers to accomplish our mission and work effectively on the water. We are a lean operation, and team work is crucial to our success. Being an effective team member means not only having the ability to work with your fellow staff members but also to be a positive example to our interns and volunteers. This position requires the person to be able to work well with and communicate with a diverse group of people including fellow staff, interns, volunteers, the public, donors and partners. 

 

WORKING CONDITIONS/PHYSICAL EFFORT

Work environment involves only infrequent exposure to disagreeable elements and minor physical exertion and/or strain. Typical work week is Monday through Friday, 9-5pm, however a willingness to travel and work flexible hours and weekends is essential.
